Your day at a glance

The Today and Money columns, and the app beside them.

EstateMax runs your estate: the gate, the residents, and the service charges. When you open it, everything sits side by side.

Today

  • Codes today, how many people came Through the gate, and your Residents.
  • Live codes that still work right now, Open complaints, residents Awaiting approval, and households In arrears.
  • Last through the gate lists who came in, and when.

Money

  • Collected this month and Spent this month, and what's Left this month.
  • Arrears is the total residents still owe.
  • Takings charts the last two weeks.

The app

The app itself is on the right. Quick links opens Residents, Security, Entries, Charges, Complaints, Broadcast and more. The tabs along the bottom open People, Gate, Money and More.

Residents and the gate

Your residents, gate codes, entries, and logging a visitor.

Residents

Open People from the tabs along the bottom. Every resident is here, owner or tenant, with their house and whether they owe anything.

  • Press Add Resident to add one, or Import CSV to add many at once.
  • Search by name, phone or house, and filter by type, status or approval.

Gate codes

Residents make a code for each visitor in their own app, and your guards check it at the gate. Codes today and Live codes in the Today column show how many are out.

Entries

Open Gate from the tabs along the bottom. Every entry is listed, newest first, with the guard who let them in. The filters show Residents, Visitors or Expected guests, and you can pick a date range.

Log a visitor by hand

For someone without a code, press Log visitor, fill in their name (and their phone and car plate, if you like), then press Save entry.

Service charges and payments

Service charges, recording a payment, and what residents owe.

Service charges

Open Money from the tabs along the bottom.

  • The four cards show what's been Billed, what's Paid, what's Not yet paid and what's Overdue.
  • The filters show Due, Overdue, Paid or Waived charges.
  • Press New charges to bill residents.

Record a payment

Tap a charge. Check the Amount paid, pick the Method (cash, transfer or card), add a reference if you like, and press Record payment. From the same screen you can also Waive this charge.

What a resident owes

In People, tap a resident. Their page shows what they're Owing and their open charges, with Collect payment at the top.

Arrears

The Arrears card in the Money column keeps the total still owed across the estate.
